Terms of Service

These terms govern your use of HospiX ("the Service", "we", "us"), including the free tools, the deep audits and the HospiX product subscriptions. By creating an account or subscribing, you agree to these terms.

HospiX is a trading name of The Trap Limited (company no. C108490), registered at SparrowHawk, Triq Il-Palazz, Rabat RBT 6081, Malta, VAT MT31026127. For any legal query, contact emanportelliwork@gmail.com.

1. The Service

We provide software tools to help hospitality operators diagnose, cost, manage and grow their business. The Service provides information, calculations and suggestions. It is not accounting, legal, tax or professional advice, and you remain responsible for decisions you make using it.

2. Accounts

You must provide accurate details and keep your login secure. You are responsible for activity under your account, including any staff you invite or any share links you distribute. Notify us immediately of any unauthorised use.

3. Subscriptions & billing

  • HospiX is sold as three products on one system: HospiX DS, HospiX BR and HospiX OS. HospiX OS is the flagship and includes every tool, every deep audit and the intelligence layer. All products are billed monthly in advance per venue. Current prices for each are shown on our pricing page.
  • Prices are shown exclusive of VAT unless stated; applicable VAT is added at checkout.
  • New subscriptions are charged at the product's full price from the first month, billed monthly in advance per venue, with no introductory discount and no free period. You can cancel at any time and keep access until the end of the current billing period.
  • The optional Group view for rolling brands into a group P&L is billed in addition to each venue's plan, on the same monthly cycle. The brand roll-up is included with every product at no extra cost.
  • Subscriptions renew automatically until cancelled. You can cancel at any time and retain access until the end of the current billing period.
  • Some accounts hold one-off audit purchases, or legacy per-tool subscriptions we no longer sell. These stay on the terms they were bought under, and cancelling a subscription does not refund a one-off purchase.
  • We may change prices with reasonable notice; changes apply from your next renewal.

4. Acceptable use

You must not misuse the Service, attempt to breach its security, resell access, submit unlawful content, or use it to store data you have no right to hold. You must have a lawful basis for any personal data you enter (for example guest contacts or staff details).

5. Your data

You own the data you enter. We process it to provide the Service as described in our Privacy Policy. Where you enter personal data about your guests or staff, you are the controller and we are your processor under our Data Processing Agreement, which forms part of these terms and lists our sub-processors. You can export or delete your data at any time from your account settings.

6. Availability & changes

We aim for high availability but do not guarantee the Service will be uninterrupted or error-free. We may add, change or remove features. Some tools are provided as evolving v1 releases and are improved over time.

7. Liability

To the extent permitted by law, the Service is provided "as is". We are not liable for indirect or consequential loss, or for decisions made in reliance on the Service's calculations or suggestions. Nothing limits liability that cannot be limited by law. Our total liability is limited to the fees you paid in the 12 months before the claim.

8. Termination

You may stop using the Service and delete your account at any time. We may suspend or terminate accounts that breach these terms.
